Greetings Residents.
We wish to convey a few points that have recently been brought to light.


1) What is an Owners Corp and what do MICM do?
The owner’s corps is made up of a committee that works to make the major decisions in the Estate. To be part of this committee you must volunteer at the Annual General Meeting. The AGM is held in August/ September each year. If you wish to improve the way the estate is run, then you will have your opportunity to do so at the AGM. MICM Property has been appointed by the Owners Corporation Committee on behalf of the residents in the estate to act as the Owners Corporation Manager. They are there to help with keeping everything in budget and on task. The Owners Corporation Committee work very closely with the Centre Management Team & MICM Property to ensure that the best outcome for all issues regarding the estate is achieved. This means that the decisions made on behalf of our residents are not MICM Property, but are made out Committee, with the guidance of MICM. The residents in our Committee volunteer their time & expertise towards making our estate a friendly and family-oriented community. We encourage residents to attend the AGM this year for your opportunity to ask questions and to gain a better understanding of the stricture of the Owners Corporation.
Before the AGM comes around, it would ideal if residents educated themselves about how the budget works and what expenses are covered by the budget. This will help you to understand the reasoning for some budgeted items. The relevant information can be found on our website under the Website Files Section and is available for Lot Owners to view.


2) We have recently been made aware of a letter that has been distributed to mailboxes within the Trillium Estate regarding the use of the facilities and asking for residents’ opinions as to whether the Club should be closed. Please be aware that this letter is not endorsed in any way by the Owners Corporation including the Committee, Staff or MICM Property. It is your own choice if you wish to complete the questions on the letter which has been distributed by a resident, but please bear that as this is not an official document from the Owners Corporation, the privacy of your contact details you provide may be compromised. The Centre Management Team at Club Trillium will not provide contact details for any other resident under any circumstances, so please refrain from asking for this information. You completed questions are also not to be returned to Club Trillium as this is not related to the Owners Corporation. Please also remember that the Facebook Page is not run by the Owners Corporation Committee therefore not all the information posted on the page is correct. 3) Due to COVID-19, many emails from both the Centre Management Team & MICM Property have been issued to all our residents with updates regarding the closure of the Club and the reason why Owners Corporation Fees have not yet been reduced as part of the closure. The Budget for this Financial Year was approved & adopted at the Annual General Meeting 2019. Any changes to this Budget would require a Special Resolution to be raised and approved at a Special General Meeting. Our next AGM is due to be held in August / September 2020, just after the beginning of the new Financial Year to adopt the next Budget. At this stage, we will be able to evaluate our financial position and determine the value we have saved from the closure. None of this will be able to be finalised until after the new financial year begins. A reduction in fees is not always a positive effect, as this will mean that you will have less in the budget to run the Club next year. During the Closure, the Centre Management Team has been working tirelessly to keep the facility looking its best. This includes completing maintenance works that would normally be completed by contractors, including gardening, cleaning property repairs, painting, pool operations, and catching up on general admin tasks. We also took the opportunity to continue running our Community Initiative classes via the Zoom online platform however this was not a popular choice with our residents. These options have been communicated to residents in our newsletters. The closure that was put in place is following the regulations set by the Victorian Government. Allowing access to our residents was not an option. The health & wellbeing of our residents & the facility is our main priority. We were able to open the facility once the regulations were relaxed on 1st June 2020. There will be further changes to be made on Monday 22nd June 2020.


4) The facilities on Common Property, known to our residents as Club Trillium, are owned by each Lot Owner in our estate as per your Land Sale contract. Occupiers must comply with the Owners Corporation Act & the regulations under this Act and the rules of the Owners Corporation. Every Lot has the same contract and therefore each Lot Owner should know that the Design Guidelines need to adhere to for the benefit of our estate. Lot Owners would have been made aware of the Owners Fee structure at the time of their purchase. The due date for each payment installment is always the same. As a reminder to yourself, you can enter these dates into your calendars. We try to avoid taking residents to VCAT for unpaid fees but sometimes this is our only option.
